This client is an Australian importer specialising in advertising signs and decorative materials. It supplies acrylic sheets to local sign‑making companies and interior contractors for light boxes, signage, display stands and interior decorative components.

Previously, the client sourced directly from domestic Chinese manufacturers via B2B platforms. While sample sheets delivered satisfactory performance in terms of light transmission, thickness and surface finish, full container‑load shipments frequently brought unpleasant surprises. Some batches arrived covered with indentations and scratches; colour‑transmission inconsistency occurred within the same lot. Measured thickness often deviated from contracted specifications. Insufficient protection during ocean transit led to chipped corners and edge damage. With no local presence in China, the client could only discover defects after containers were unloaded at destination. Damaged sheets were hard to rework locally and had to be either sold at a heavy discount or scrapped, causing substantial financial losses. In addition, various thicknesses and colours required different production lines, forcing the client to coordinate with multiple suppliers and consuming enormous time on order follow‑up. After repeated bad experiences, the client outsourced supplier evaluation, production monitoring, pre‑shipment inspection and export logistics to our foreign‑trade procurement service.

Client Procurement Requirements

1. Product Scope: Clear and coloured cast acrylic sheets in multiple thicknesses, including standard sizes and custom‑cut formats for advertising and decoration applications.

2. Quality Expectations: Surfaces shall be free of obvious scratches and indentations. Colour and light transmission shall remain consistent within each batch. Thickness tolerance must stay within mutually agreed limits. Corners and edges require proper protection against transit impact. Protective films must remain intact without peeling off.

3. Order Conditions: Full‑container shipments with mixed specifications of different thicknesses and colours allowed for consolidation. Lead times must match the client’s downstream project schedule and unplanned delays are unacceptable.

4. Service Scope: Rather than managing numerous sheet manufacturers separately, the client expected us to complete on‑site factory assessment, pre‑production sample confirmation, bulk‑lot random inspection, loading supervision, reinforced packaging, customs clearance and sea‑freight arrangement. The client only needed to confirm specifications, colours, quantities and budget before receiving final shipment documentation.

Our Sourcing & Procurement Solutions

Instead of selecting manufacturers purely based on the lowest online quotations, we carried out site visits and short‑listed two factories focusing on export‑grade cast acrylic sheets. We closely examined their casting lines, raw‑material batching, cutting and film‑covering workflows, filtering out facilities with outdated equipment that mainly supply low‑end domestic‑market goods.

1. Physical reference samples instead of relying merely on specification sheets

Many trade disputes arise from trusting written parameters alone. We sent physical samples from short‑listed manufacturers to the client. Suppliers were finalised only after the client approved light transmission, colour and surface condition on real samples. These physical samples served as the benchmark for bulk‑goods comparison, rather than depending entirely on technical data sheets. We also confirmed protective‑film quality to avoid film peeling and secondary surface scratches during transit.

2. In‑production random checks and on‑site pre‑loading inspection

After production and film lamination, our team opened random packages on‑site. We partially removed protective films to inspect surface condition, colour, light transmission and actual thickness, checking for scratches, indentations and air bubbles. Non‑conforming panels were directly rejected and excluded from shipments. During container loading, we oversaw stacking arrangements. Cardboard separators were inserted between sheets and corner protectors fitted to minimise collision damage caused by shifting cargo at sea. Container sealing took place only once full inspection was passed.

3. Reinforced packaging optimised for long‑distance ocean shipping

Acrylic sheets have low hardness and are highly vulnerable to scratches and corner chipping. Beyond original factory protective films, extra hard cardboard separators were placed between panels. Plastic corner guards were fitted around each pallet. Pallets were secured inside containers to prevent shifting during ocean voyages. Each pallet was clearly marked with thickness, colour and batch number for easy receiving and sorting upon arrival. Different specifications were stacked separately to avoid batch mixing.

4. Standardised export documentation and compliant customs declaration

As plastic sheet products, acrylic materials require accurate declaration of material, dimensions and thickness. We ensured full consistency among commercial invoices, packing lists and actual cargo to reduce inspection risks at the port of destination. Photos taken during production, inspection and loading were shared with the client throughout the whole process, removing the burden of handling complicated domestic procedures.
